Using the Vevox PowerPoint Add-in for the first time?
Here is a checklist with best practice tips to help you be ‘present-ready’ for your meeting.
What Add-in are you using?
Checklist
STEP 1: Create
Create your polling questions in PowerPoint or in the Vevox dashboard and then add them to your PowerPoint presentation. Our video guide explains the steps here, or read the instructions here.
STEP 2: Test
Once you have created all your poll slides – Test! Test that everything is working as it should before your meeting.
Connect to the Vevox session with your PowerPoint presentation before you start polling.
Set yourself up as a participant on your phone. (Go to www.vevox.app in your phone browser and enter the relevant Meeting ID. You get the Meeting ID from the joining instructions.) Now run your polls by going into slide show mode on your PowerPoint and answer the polls (as a participant) on your phone.
We cannot recommend doing this enough as it will identify any potential issues in good time.
STEP 3: Clear results
After testing and ensuring everything is operating as expected, ‘clear results’ on all Vevox PowerPoint slides.
When you finish STEP 2- your slides will contain the test results, and they all need to be ‘cleared’ in the PowerPoint presentation before the start of your meeting. (It is also advisable to clear the Vevox dashboard from the test results.)
.
STEP 4: Go Live
Time to go live! Run your presentation in slide show mode opening your polling questions by advancing with the 'Enter' button, the spacebar or the right arrow. Always ensure you’re logged in and connected to the correct Vevox session before you enter slide show mode. (You will know when you are connected when you see the Vevox session in the task pane in PowerPoint.)
STEP 5: Save results
Congratulations. Your meeting is complete! Remember to save this PowerPoint slide deck with all the results. (As an addition, your meeting data will also be available in the Vevox Dashboard to download as result images or as an Excel spreadsheet.)
Checklist
STEP 1: Create
Create your polling questions in the PowerPoint presentation you wish to use. Our video guide explains the steps here, or read the instructions here.
STEP 2: Test
Once you have created all your poll slides – Test!
Test that everything is working as it should before your meeting. You can simulate results by making sure you are disconnected from a Vevox session and going into Present mode. When Present mode loads it will give you the option to connect to a session or simulate results. When simulating just press 'Enter' as you go through the polls and it will automatically answer your polls with test data so that you can see how it will work when you are connected with real participants voting.
Alternative testing – connect to the Vevox session you will be using and login to that session as a participant on your phone. (Go to www.vevox.app in your phone browser and enter the relevant Meeting ID). Now run your polls by going into present mode on your PowerPoint and answer the polls (as a participant) on your phone.
We cannot recommend doing this enough as it will identify any potential issues in good time.
STEP 3: Clear results
After testing and ensuring everything is operating as expected, ‘clear results’ on all Vevox PowerPoint slides.
When you finish STEP 2- your slides will contain the test results, and they need to be refreshed and ‘cleared’ before the start of your meeting.
If you used the alternative testing method in Step 2, remember to also clear your results in your Vevox session in the Dashboard. Read option 3 in this article.
STEP 4: Go Live
Time to go live! Run your session and polling questions in your meeting, ensuring you’re logged in and connected to the correct Vevox session. (You will know when you are connected as you will have the ‘tick’ icon and the 9-digit session ID in your PowerPoint ribbon, example below.)
STEP 5: Save results
Congratulations. Your meeting is complete! Remember to save this PowerPoint slide deck with all the results. (As an addition, your meeting data will also be available in the Vevox Dashboard to download as data images or as an Excel spreadsheet.)
Using the same slides for multiple sessions
STEP 1:
If you are re-using the same slides for another session in the future, then ‘save as’ your PowerPoint presentation and name it something like ‘Training session 1 COMPLETE’.
STEP 2:
‘Save as’ another copy of the same PowerPoint slide deck and call it ‘Training session 2’. Clear all results on your slides on the new file, so it is ready for your next meeting. Now use this copy for your next session.
If you wish to keep your results data in the Dashboard separate for each session, then set up a new session in the Vevox Dashboard for each new session and remember to link it to the relevant PowerPoint presentation.
