However, if you wish to exclude other selective words or phrases that are not relevant to your session, you can manually hide them from word cloud or text polls while your poll is live and running.
This manual filter function is only available when you are running your polls from the dashboard.
1. Filtering words from Word Clouds
To manually filter out words, do the following:
From the dashboard, open your word cloud.
As the participant responses come in, you will see the words and their frequency count appear in the dashboard. Remember, participants can send in multiple responses of individual words or short phrases (up to 20 characters).
If you spot a word you would rather not appear in your results, select the hide icon (eye icon) next to the word or phrase. This will remove it from the voting results seen by the participants in Present view. You will notice a line through the selected word or phrase, and it will be greyed out in your dashboard results as well.
Should you wish to include the hidden words again then simply select the hide icon again, and they will re-appear in the results.
If the word you are filtering out has been sent in repeatedly, no need to worry about finding all the other instances of it. Vevox will automatically filter it and all other occurrences of it from appearing.
When you close the poll, you can continue to filter messages before you publish the results. However, once you have published the results to your participants, you will no longer be able to make changes to the responses.
All results submitted by the participants will appear in the data report. Even the ones that were manually filtered out.
2. Filtering words from text polls
Filtering words from text responses works by removing the entire participant's response.
In text polls, participants are expected to submit a complete sentence. Removing a single word from the sentence can alter its meaning. To avoid this, the entire response is filtered out when a word is flagged.
In the poll results, the full sentence will be hidden. To remove a specific phrase from your text poll, click the hide icon next to it.
When the profanity filter is turned ON, it automatically blocks certain pre-set words, which will be marked with the word ‘profanity’ next to the text. However, if participants use their own spelling or symbols to bypass the filter, you can manually hide these phrases by clicking the hide response icon.
3. How to filter words from the Q&A board
The profanity filter ensures that the session host retains control over the content displayed and helps keep your Q&A board appropriate and professional. But on occasions, you might want to include certain comments to provide a fuller perspective or to add context to the situation.
When the profanity filter is enabled in the session settings, participant comments containing profane or blocked words will not appear on the Q&A board. Instead, they will be flagged in the dashboard, allowing the session host or moderator to review and approve them before they become visible.
- Turning on the profanity filter always adds an extra layer of control for the Q&A board.
- Moderation settings determine whether all comments or just flagged comments require review.
When the Profanity Filter is ON
- Flagged Comments: Comments with blocked words require manual approval in the dashboard to appear on the Q&A board, even if moderation is off.
- Moderation OFF: Flagged comments go to the Published List but won’t appear on the Q&A board until approved.
- Moderation ON: Flagged comments appear in the Needs Review List with a warning. Once approved and moved to the Published List, they are visible on the Q&A board.
Please note that approving a blocked comment by selecting the eye icon does not automatically make it appear in Present view. If the comment remains in the "Needs Review" or "Reviewed" list, it must always be moved to the "Published" list before it becomes visible to participants.
When the Profanity Filter is OFF
- No Blocking: Comments are not flagged or filtered.
- Moderation OFF: All comments are instantly visible on the Q&A board from the published list.
- Moderation ON: All comments appear in the Needs Review List and must be moved to the Published List to be visible.
If a flagged comment is not approved in the dashboard, it will not be included in the Q&A board but stay visible in the dashboard and appear in the data report.
Once a flagged comment is approved and published on the Q&A board, it can only be removed by archiving it from the dashboard or on Present view.
