As a meeting host, you can share your Vevox session with another colleague, organizer or moderator and give them complete control over your Vevox session. (Read this article).
But there are times when you want to share only the Q&A message board with a colleague, moderator or panelist. You can either share:
- A ‘Read only’ display or
- A link to help with moderation
A: Share the ‘Read-only’ display of the Q&A message board.
A ‘Read only’ display of the Q&A message board is typically used for panelists or facilitators to prepare for the Question-and-Answer session. Note that the ‘Read only’ Q&A message list cannot be moved, manipulated or changed.
It is recommended to ask the session participants to send in their Q&A messages at the start or during your Vevox session. Sharing the ‘Read only’ display link with the panelist or facilitator before the beginning of the Q&A session will enable them to get an overview of the questions and give them extra time to prepare.
There are two steps to share the ‘Read only’ Q&A message list:
Step 1: Create a specific Q&A message list from the Q&A message board.
Step 2: Share this list with others via QR code, a copied link or open it in a new tab.
Step 1: Create the Q&A message list
From your dashboard, select Q&A from the main navigation menu.
Select the 'Share Q&A' button. A pop-up will appear asking you to create a new list.
Select the ‘Read only’ option.
When you create this ‘Read only’ Q&A message list, you can set the following if moderation is turned ON:
- Select the message list you want to share (Needs review list, Reviewed list, Published list or the Archived list).
- Sort the list by Newest comments first, Oldest comments first or Most liked comments.
- Apply a filter to show only the favorite comments.
- Set a passcode to enter when you want to access this list (optional).
You can create multiple lists – each will have its unique QR code or URL link. You can see a list description in the top right-hand corner confirming what the list name is and how it is sorted.
You can also delete lists and links that are not applicable anymore – select the more options (three dots) next to the list name.
Step 2: Share the list
Now share this list via the QR code or copied link.
B: Share the ‘Moderation functionality’ of the Q&A message board.
You will share this link when you want a colleague to help moderate the Q&A message board. It is ideally used when you want to control the rest of the Vevox session yourself (polling side) but need assistance with the moderation of the Q&A board.
This link will allow your colleague complete control and moderation functionality over your Q&A message board. They can send host messages, change the Q&A message board when moving messages from the Needs Review list to the Reviewed list or Published list. They can delete messages and mark specific comments as favorites. Unwanted messages can be moved to the Archived list as well.
To ensure this link does not land in unsafe hands, creating a passcode for protection is advisable. The colleague receiving this link will also need to enter the passcode to get access.
To create the sharable moderator's link:
When in the Q&A section, select the moderation icon in the top right-hand corner.
Make sure the Moderation button is activated and shows a green color. (If it is grey, slide it to the right.) This will ensure that your colleague can help with the moderation of the Q&A board.
Now select the ‘Moderator link’ and turn it on. The popup will now expand with a passcode & URL display link.
Create a passcode (optional).
Copy the link or scan the code and share it with your colleague.
The QR code or public link will take your colleague directly to a moderators view of the Q&A message board.
The shared list will clearly indicated that the list is a moderator display and can be changed with this link.
